As an Office Manager at Istec, you ensure that our office activities and daily processes run smoothly. You support the team with a wide range of administrative and logistical tasks, playing a key role in creating a productive and pleasant working environment.
What will you do?
As an Office Manager, you are responsible for the smooth operation of the administrative department. You lead a team of three colleagues while actively participating in daily operational tasks. You are the link that ensures structure, oversight, and efficient execution of processes.
Your tasks include:
- Registering orders, monitoring agreed delivery dates and orders, and coordinating with clients and suppliers.
- Handling the administrative processing of deliveries, including managing incoming shipments and preparing outgoing ones.
- Making accurate bookings in the system.
- Answering phone calls and directing specific inquiries to the appropriate colleagues.
- Supporting project managers and management with various administrative tasks.
Additionally:
- You supervise and support a small team of administrative colleagues.
- You ensure an efficient work distribution, while monitoring the progress and quality of tasks.
- You identify bottlenecks in processes, propose improvements, and contribute to further automation.
- You maintain effective communication within the team and with other departments.
Your profile
- You have an excellent understanding of administrative processes and can introduce structure in a dynamic work environment.
- You work independently, take initiative, and maintain an overview of the team’s activities.
- You are communicative, serving as the first point of contact for clients and suppliers, supporting them professionally and customer-oriented.
- You are a true team player, leading and supporting the administrative team while actively contributing to operational tasks.
- You can confidently and professionally communicate with international clients and suppliers in English; knowledge of other languages is a plus.
- You are experienced with administrative software and eager to contribute to further automation and optimization; experience with AFAS is a plus.
- You have a proactive attitude, identify process bottlenecks, and propose improvements to enhance efficiency.
- You have an HBO-level education and relevant experience.
